Each month of fall, our team is hosting a Town Hall Meeting!
These monthly meetings exist so that you and your team can experience regular in-person discussion with our team, learn about our most recent updates, learn from other hosts on the call, and bring any questions you may have!

We are also excited to announce a new segment in our Town Halls! In what we're calling "Road to Summer Discussions," we will spend about 20 minutes at the conclusion of each Town Hall discussing specific topics to improve the camp preparation process. The format will include information shared from the Host Development Team, occasional insight from experienced speakers, and leave plenty of time for questions and discussion from fellow hosts. New hosts are expected to attend, but all hosts are welcome to join.

For the month of January, we'll be walking through the Updated 2024 Leadership Team Playbook! Join us to learn what's new, hear from the LTP editor, Brea Barentine, and learn how to maximize this resource to its fullest capacity as you prepare for Host Rally in a few short weeks.

Host Rally FAQs

How will I receive my travel plans to Host Rally?

You as the Host, or your Community’s Host, will be emailed a document detailing your group’s arrival information. This will include hotel location, rooming breakdown, and other arrival details. If you are flying to Host Rally, you will directly receive an email from our partners at Direct Travel with your flight confirmation. This one-page document will also contain airport shuttle information for your group.

Do I need to know anything specific about arriving at Host Rally if I am driving?

Upon arrival to the hotel, please get a parking ticket from the front gate and bring it inside to be validated at the hotel check in desk. You will then be given a parking pass for the event.

I am a flyer for Host Rally and just landed in Atlanta, what do I need to do next?

Once you get to baggage claim, be on the lookout for our WinShape Camps volunteers. They will be identifiable by their WSC t-shirt and/or signs. From there, they will instruct you towards the shuttle area to take you to the hotel.

Where do I check in to my hotel room once I have gotten to the Renaissance Waverly? 

Once you arrive, you will check in and get your room key at the hotel front desk. Then, feel free to go to your hotel room and drop off your luggage. After this, please head to the Exhibition Center for Conference Check In.

What if my room is not ready when I arrive?

WinShape will store your luggage for you! Please make your way up to Conference Check In and someone from our team will assist in holding your bags in the meantime.

What is the mileage reimbursement process? 

At Conference Check In, you will be asked to complete out a form via the QR code on the back of your nametag. This form will initiate the process for our Operations Team.

What if I forgot something or have a question during the event? 

Please stop by our Checkpoint table to be assisted by one of our volunteers. This will be in the Exhibition Center.

What if I have a specific question that is not answered on this page?

Please reach out to your Host Development Rep! Or feel free to bring your questions to our next Town Hall!

As you likely have seen via the Host Rally Workshop Descriptions page, this year we are excited to have a Workshop dedicated to how we can appropriately involve Middle Schoolers into the camp atmosphere.

In this Workshop, we'll dive further into WinShape Camps' Pilot Year of the Middle Schooler Engagement Program.

Listed below, you'll find a teaser for some of the information we'll cover in the Workshop along with parameters set for those who would like to participate in this opportunity.

As discussed in last month's Town Hall, our team is excited to further explore ways in which camp can engage your community's middle school audience! While no longer campers, and not yet volunteers, we believe that there is a necessary gap worth trying to bridge with middle schoolers so that you can continuously engage all ages within your community.

If you know you are interested in and desire to participate in the pilot year of our Middle Schooler Engagement Opportunity, let your Host Development Rep know by January 10th (tomorrow!).

Before confirming your participation with your Host Development Rep, please note the requirements listed in bullet point format.

  • All Middle School participants must be registered (more info to come on how!).
  • There will be a maximum number of Middle Schoolers who can participate.
  • There must be a Student Coordinator who is on-site throughout the entire duration of camp.
  • The Student Coordinator will partner with the Volunteer Director in delegating tasks/placing Middle Schoolers in various roles.
  • The Student Coordinator will determine the direction of and facilitate group time with Middle School participants.

This year we are excited to announce that, following Session 3, on Tuesday, January 30th, you and your team will have a Free Night to explore the dining and activity options of the Battery! Session 3 will conclude by 5:45 PM so that you can depart with your Leadership Team for dinner, activities, and memory making.

We hope you enjoy this evening on your own and all that The Battery and surrounding areas have to offer! If you have mobility concerns or needs, please see Checkpoint.

As a reminder, we are now working with a new print vendor, Lawrence Ink! The decision to make this change is based on the feedback we received from hosts and our hope is this new vendor can better serve you as a community.

We're still continuing to provide each community with a $750 credit to order customizable flyers, banners, postcards, and more. The only difference is that it will be with our new print vendor and a new website.

Road Crew is excited to visit to your location in Spring 2024!

If you're unfamiliar with Road Crew, this is a highly-trained team of four WinShape summer staffers who bring fun games and equipment to your community and raise awareness for camp! In an effort to streamline our systems to better serve you, we've made some updates to expectations and process that we want you to be aware of for Spring 2024.

We've seen the most success through Road Crew events where our WinShape staff provide the entertainment for the event, parents and families in the community receive updates and news about the event prior to its start, and hosts are able to be present for the duration of the event. To provide a consistent experience in each community, we ask that you assist the Road Crew by following this model as well!

You will also be able to schedule an individual conversation with our Road Crew Coordinator, Josh Hines, who will answer questions and provide guidance so that you can maximize your Road Crew experience.

Ministry Safe Resource Available

Ministry Safe Resource Available

As stated in your contract, all registered Volunteers must be Background Checked prior to the start of camp.

If your church does not already have a method for this, we want to remind you of our partnership with Ministry Safe, an organization that is dedicated to protecting the safety of children and preventing abuse through effective training.
