Each month of fall, our team is hosting a Town Hall Meeting!
These monthly meetings exist so that you and your team can experience regular in-person discussion with our team, learn about our most recent updates, learn from other hosts on the call, and bring any questions you may have!

Host Rally Reminder | Registration closes December 15th

Host Rally Registration is open and we cannot wait to see you and your Leadership Team there! Note that your community's name will not be listed in the Host Rally registration selection until you have signed your contract.

As a reminder, each attending team member will need to register for the event (so if you are the main host, be sure to send the registration link to your Leadership Team!). If you have a Chick-fil-A Rep attending the conference with you, make sure they register for Host Rally under the "Chick-fil-A" dropdown option as they register.

Upon registering, you'll be required to pre-select your Host Rally Workshop preferences. You can access our Workshop descriptions both through the registration link and also on the Host Rally webpage found here on the Host Hub.

Host Rally Workshop | Middle Schooler Engagement Teaser

As discussed in last month's Town Hall, our team is excited to further explore ways in which camp can engage your community's middle school audience! While no longer campers, and not yet volunteers, we believe that there is a necessary gap worth trying to bridge with middle schoolers so that you can continuously engage all ages within your community.

If you know you are interested in and desire to participate in the pilot year of our Middle Schooler Engagement Opportunity, let your Host Development Rep know by January 10th.

Before confirming your participation with your Host Development Rep, please note the requirements listed in bullet point format.

• All Middle School participants must be registered (more info to come on how!).
• There will be a maximum number of Middle Schoolers who can participate.
• There must be a Student Coordinator who is on-site throughout the entire duration of camp.
• The Student Coordinator will partner with the Volunteer Director in delegating tasks/placing Middle Schoolers in various roles.
• The Student Coordinator will determine the direction of and facilitate group time with Middle School participants.

Host Rally Update | Free Night / Social Information

This year we are excited to announce that, following Session 3, on Tuesday, January 30th, you and your team will have a Free Night to explore the dining and activity options of the Battery! Session 3 will conclude by 5:45 PM so that you can depart with your Leadership Team for dinner, activities, and memory making.

We hope you enjoy this evening on your own and all that The Battery and surrounding areas have to offer! If you have mobility concerns or needs, please see Checkpoint.

2024 Marketing Allotment Update | Marketing Support with New Vendor

One change our marketing team is excited to announce is that we are now working with a new print vendor, Lawrence Ink! The decision to make this change is based on the feedback we received from hosts and our hope is this new vendor can better serve you as a community.

We're still continuing to provide each community with a $750 credit to order customizable flyers, banners, postcards, and more. The only difference is that it will be with our new print vendor and a new website.

New Ordering Instructions: 1. Visit https://wschostorders.myprintdesk.net starting December 20th to get access.
2. Create a new account.
3. Select your desired print materials and customize or promo items.
4. Choose your shipping method and place your order using your $750 credit.

Request the Road Crew

Road Crew is excited to visit to your location in Spring 2024!

If you're unfamiliar with Road Crew, this is a highly-trained team of four WinShape summer staffers who bring fun games and equipment to your community and raise awareness for camp! In an effort to streamline our systems to better serve you, we've made some updates to expectations and process that we want you to be aware of for Spring 2024.

We've seen the most success through Road Crew events where our WinShape staff provide the entertainment for the event, parents and families in the community receive updates and news about the event prior to its start, and hosts are able to be present for the duration of the event. To provide a consistent experience in each community, we ask that you assist the Road Crew by following this model as well!

You will also be able to schedule an individual conversation with our Road Crew Coordinator, Josh Hines, who will answer questions and provide guidance so that you can maximize your Road Crew experience.

WIN Custom Questions - Due February 7th

As we get closer and closer to the camp season, we want to make sure you have the opportunity to adapt our registration questions to include anything else you may want to ask the families who will be attending your camp session.

Examples may include:
- Are you interested in purchasing a Chick-fil-A lunch for your camper during the camp week (Mon - Thurs)?
- Are you interested in learning more about our church?

Ministry Safe Resource Available

As stated in your contract, all registered Volunteers must be Background Checked prior to the start of camp.

If your church does not already have a method for this, we want to remind you of our partnership with Ministry Safe, an organization that is dedicated to protecting the safety of children and preventing abuse through effective training.

From the Vault - A Brand New Resource! 🗝️

December marks our final round of From the Vault Resources for 2023!! We appreciate everyone who has utilized them and offered input for future resources. This month we've featured a few creative small group activities to supplement the stage games and large group games that already exist on The Vault. These provide fun, exciting content for one-off Sunday School lessons, midweek kids content, and more!

As we move into the new year, we will transition to a new format of discussing resources, but "From The Vault" will be back in action next fall. Continue the conversation around ways our team can bring value to you in the future!
