Conference Packet

Arrival Information

You can expect to receive information about your community’s hotel location on Wednesday, January 25th.

If you are flying,

Upon arriving at Hartsfield-Jackson Atlanta Airport, head to domestic baggage claim/ground transportation (if you get on the Plane Train, it’s the final stop). Once you reach the top of the escalators, you’ll find our volunteers holding blue and red Host Rally signs. Upon locating them, they will give you instructions as they walk you to our shuttle pick-up. Once you board our shuttle, you will be taken to your perspective hotel to begin your room Check-In. As you check into your hotel, you will receive your hotel room key and you will be able to drop off your luggage.

 

Luggage Information:

Due to the duration of the conference and our airline partner baggage policies, we’d encourage you to bring carry-on luggage as Delta, Southwest and American all allow one-carry on (22″ x 14″ x 9″) per customer.

GENERAL CONFERENCE LOGISTICS

LODGING ACCOMMODATIONS

WinShape Camps will cover the cost of two hotel rooms (which is an approximate rate of $212/night). The Church Host is responsible for submitting room needs to the WinShape Camps Office by completing the Host Rally registration. WinShape will handle all booking of hotel rooms.

TRAVEL ACCOMMODATIONS

WinShape will cover three means of transportation per community. This could be either the cost of three round-trip airfares, or up to $500 in mileage reimbursement (for one vehicle only).

DRIVING

WinShape Camps will cover round-trip mileage up to $500 per community and each community is permitted to submit only 1 mileage reimbursement for 1 vehicle due to limited space at the venue.

If you are driving to Host Rally and relying on a Mileage Reimbursement, be sure to keep an eye out for an email from cfasuppliers@portal.chick-fil-a.com with information from our Supplier Portal. To insure this email does not go to your Trash/Spam, save this email address as one of your contacts. The Supplier Portal channel will not only be how our team collects your W-9, but will have the information necessary in order to conduct a reimbursement. FLYING

All flights will be booked through our travel partner, DirectTravel. You will not need to book your own flights, as we will book all travel based on the information provided through your Host Rally registration information.

CONFERENCE PACKET

WinShape Camps will cover meals and conference fees for three attendees (an estimated rate of $300 per attendee). This includes the following meals: Monday dinner, Tuesday breakfast and lunch, and Wednesday breakfast and lunch. The final registration date is December 6th. If you need to make any changes or cancellations to your registration, please do so as soon as possible by reaching out to your Host Development Representative.

ADDITIONAL ATTENDEES:

If you are interested in bringing more than three attendees, they will still need to be registered through the Host Rally registration platform. WinShape will execute all booking for travel/lodging, and will retroactively send an invoice for the following accrued expenses:

  • Airfare Price – will vary depending on airline
  • Extra hotel room, if needed, at $212/night
  • $300/conference ticket

Following your team’s registration and as the event approaches, WinShape will email individual hosts the following information:

  • For Flyers | ATL airport instructions + Shuttle information for scheduled arrival to the Renaissance Waverly
  • Hotel Info | # of rooms booked + Check-In information
  • Wednesday departure information

Our team will send out invoices for all accrued costs in the days following the event.
